An office move has two halves: the new furniture comes in and the old has to go somewhere. The second half is usually forgotten, and it comes to light only when the lease ends in three days. Here is how to plan it in advance.
Short answer. Start a month ahead. Old office furniture is bulky waste and disposal costs 31 €/m³ – eight desks and ten chairs come to about 8 m³. Metal cabinets and all IT equipment are accepted at the waste station at no charge. We also work evenings and weekends so that the office does not stand still.
Timeline: what to do when
-
A month before
Walk through the premises and decide what comes along. Make a list of what stays behind. Ask for a quote for both the move and the disposal.
-
Two weeks before
Agree the date. If the building requires a lift booking or the manager’s permission, arrange it now.
-
A week before
Empty the cabinets and drawers. Set aside any documents going for destruction – they do not belong in the ordinary load.
-
Moving day
New furniture in, old furniture out. If we do both, one crew handles it and you do not have to coordinate two companies.
What comes out of an office and what it costs
| What | Volume | Waste station fee |
|---|---|---|
| Desk | approx. 0.8 m³ | approx. 25 € |
| Office chair | approx. 0.4 m³ | approx. 12 € |
| Filing cabinet, wooden | approx. 1.2 m³ | approx. 37 € |
| Metal cabinet or shelving | metal | no charge |
| Computers, monitors, printers | electronics | no charge |
| Server cabinet, cables | metal and electronics | no charge |
| Partition wall, plasterboard | construction waste | 41.30 €/m³ |
| Boxes and packaging | paper and cardboard | no charge |
An office usually holds a lot of metal and equipment – which is good news, because those are exactly the things accepted at no charge. The actual invoice is usually smaller than expected.
What companies often overlook
In commercial buildings the goods lift is often booked in advance and moving is allowed only at certain hours. Check this before agreeing a date.
Papers containing personal data must not go in with ordinary waste. Destruction is a separate service – put them in separate boxes and label them.
A lease usually requires the space to be returned empty. Wall fixings, cable trunking and shelving have to come off – that is a separate job.
Moving during office hours disrupts work. From 18:00 there is a 15% surcharge, but the office carries on as normal the next morning.
Example: an office with ten workstations
Removal of the old furniture, 2nd floor with a lift, on a weekday.
For a larger office we come and look first and give a more precise quote. That costs nothing.
Invoicing a company
- Payment can be made by bank transfer – please send the company’s billing details before the work.
- We issue a delivery note and an invoice. On request we provide the waste station receipt, which proves the waste was handed over properly.
- We work under waste permit L.JÄ/333085 – which matters if your company has environmental reporting obligations.
- With regular clients and facility-management partners we agree terms separately.
Ask for an office quote
Send a floor plan or photos of the premises and the date you want – we reply within a few hours.
Frequently asked questions
Can you work outside office hours?
Yes. From 18:00 there is a 15% surcharge on the hourly rate, from 23:00 it is 30%. Higher hourly rates apply on Saturdays and Sundays. For many offices that is a sensible trade-off – work does not stop.
Do you bring the new furniture in as well?
Yes, we transport furniture and goods and carry them in. Simpler furniture we also assemble. That way the old goes out and the new comes in with one crew.
What happens to old IT equipment?
We hand it over at the waste station as electronics – at no charge. We do not destroy data media, so remove the hard drives beforehand.
Do you also take construction waste from an office refurbishment?
Yes, we remove partition walls, plasterboard and old floor coverings. The rate is 41.30 €/m³ and labour is 48 €/h per worker.
Can I order just the workers?
Yes, we hire out workers without a van at 36–48 €/h per person, minimum 1 worker for 2 h or 2 workers for 1.5 h. That suits when you have the transport but need hands for the lifting.
